What's happening in project tracking

Any project coordinator works with four elements: expenditure, timing, time and producing a satisfactory result. A more ambitious goal is to optimize work organization and resource allocation. The majority of projects employ such elements as people, funds, and tools to achieve results and meet objectives. To work with projects effectively you need to handle a number of things. Some of them can be found in the next paragraph:

- Goal setting and reviewing achievement.

- Handling risk. Take any project and you will see that it involves a lot of uncertainties that have to be dealt with.

- Assigning and supervising resources.

- Defining the outcomes of the project.

- Controlling the project from the point of view of who is doing what and at what time.

- Making sure that the outcomes of the tasks are up to standard.

- Managing changes. Change is constant. Most projects develop in time, so the element of change has to be accounted for.

- Talking to everybody involved with the project.

To deal with these issues you can employ pencil and a notepad or probably MS EXCEL. But you get some interesting benefits if you decide to use project tracking software:

- It simplifies scheduling. Duration can be adjusted automatically using the workload information. It is possible to define work time-tables for various employees. Managing progress also becomes not that much of an issue.

- Coordinating a few projects with various requirements. Executives can use progress management software to simplify analysis of several big projects.

- Critical path becomes nicely observable. The critical path is an important notion in project planning. If a task on the critical path lasts more time than expected, dates of work on other tasks will be altered. At the same time for tasks that are not on the critical path small changes in duration can have no influence whatsoever on other activities.

- Disseminating information to project participants. The more complex are the project needs, the more of them have to be discussed. Groupware productivity tracking software enables each participant to know what is up every time.

Is it always a must to use task tracking software?

Project management solutions could not be appropriate in every case. The most suitable time to reap the benefits from such programs is when you supervisea few large projects. It could be a good idea to operate simple projects manually, so that you do not have to pay large overhead connected with employing complex programs.
